Philosophy
1. What does honest communication mean to .FACTUM?
For us, honest communication means that nothing is left out, added or glossed over. We communicate your messages in a targeted way. We also give an honest assessment of what we think is the right approach and the right tone of communication, even if our recommendation is different from what you expect. We believe that only honest communication builds trust and success. Our guiding principles guide our work every day:
- Discussion: We live communication. We are equal partners – always ready for discussion and open to new approaches. We define the goals of our collaboration together.
- Efficiency: Through our work for non-profit organizations and start-ups, we have learned to do a lot with a small budget. We apply this to any budget size. Our work is characterized by efficiency.
- Trust: We know that trust must be earned. That’s why we engage in a lot of dialog, especially at the beginning. Honesty and transparency are important to us in all aspects of our relationship.
- Measurability: We are measurable. We document and evaluate our work and successes in regular reports, ensuring that everyone involved is always up to date.

- If a measure does not achieve the desired response, we will seek direct dialog with you to explore alternatives.
- Calculated times may change during the creative process. If we realize that our calculation needs to be corrected, we will communicate this early and in coordination with your ideas.
3. ‘Honest communication’ in quotations and invoicing?
In our quotes, we provide an honest estimate of the work we expect to be involved. The estimate is based on our personal experience. We are transparent about our hourly rates in our quotes and invoices.

Method of operation
1. Does .FACTUM exclusively work for clients from Munich/Bavaria?
No, we work with clients from all over Germany. From time to time we also work for clients in other countries. However, personal contact with our clients is important to us. Therefore we conduct regular meetings at your premises or at our agency.

4. How do we get to know each other?
We start by arranging a personal meeting, which can be in person, over the phone or via video chat, to get to know you and your organization/company. This meeting is of course non-binding and free of charge. It allows us to get an initial idea of your needs and then consider which measures will help you achieve your goal. We will also introduce you to our agency, our working methods and our relevant references so that you can get to know us better in return.
5. How do we work together?
We work as a team, sharing knowledge and expertise internally and externally. We value a culture of open dialogue. In close dialogue, we develop a roadmap to turn your story into our shared story.
As an agency, we want to achieve the best possible result for you within the available budget, which is why we focus on results-oriented project planning. In a joint kick-off meeting, we will clarify any outstanding issues, define the objectives and target audience for the press relations work, and re-establish responsibilities, timeframes and project plans to ensure a smooth working relationship.
6. Who does .FACTUM work with?
In our shared office we are connected by short distances and long-standing partnerships. At LEO54 we develop, discuss and implement ideas in a creative environment where text, design and images complement and inspire each other.
Ansichtssache
We have been working with Ansichtssache for many years. The Munich-based design agency has been developing creative concepts for a wide range of industries for over 15 years, and its portfolio ranges from the design of various print products to the design and programming of websites and the development of entire corporate designs. The agency’s particular expertise lies in solution-oriented analysis and the subsequent creation of a coherent design language for its clients.
Senger|Prager
We work with Senger | Prager on film and video productions. Since 2012, Senger | Prager has been producing individual and high-quality image, advertising and music videos. Together with its clients, the production company develops a concept from the initial ideas for a convincing cinematic presentation in terms of content and emotion, and accompanies the entire production from shooting to post-production in terms of editing, sound and effects.
7. Can we use our own graphics agency?
Due to our well-established partnership, we are happy to work with Ansichtssache, but we will also liaise with your partner agency – always with the aim of achieving the best result.
8. Who is our contact person?
Each of our clients has a personal contact. In addition, at least one other person is always informed about the current status of the project. In this way, we ensure smooth collaboration at all times. If the relevant contact person is unavailable, we will of course pass on important information immediately and ensure that it is dealt with promptly.
9. What does the exchange within the project look like?
Regular dialogue is important to us. We offer our customers various options for this: Exchange via telephone, email, video chat, our project management tool Trello or in person. We also document all project statuses and other work steps in a monthly report and on Trello so that you have a comprehensive overview at all times.
10. Can .FACTUM carry out orders quickly and spontaneously?
Yes, we are a well-rehearsed, experienced and flexible team. If it is particularly important to you that a project is carried out quickly and at very short notice, we will do our best.
11. Can we contact .FACTUM with questions that are not related to a specific project?
With pleasure. We always think along with each of our clients. So we are always there for you, even with (strategic) questions outside the daily project work.
Measures
1. What is the purpose of the action plan? What does it depict?
After an initial analysis of our client’s needs and requirements, we draw up an action plan. Based on the communication objectives we want to achieve with you, we identify the PR activities (modules) required to achieve them. We define a timeframe for the implementation of the measures and provide an initial cost estimate. You decide what to do and what not to do. We break down large-scale activities, such as events or trade fairs, into individual steps and define milestones. This gives you an overview of what we are proposing and allows you to track its implementation. If you wish, we can work with you to see what you can do yourself. 2. Does .FACTUM create individual communication concepts for all clients?
Yes, it is important to us that our communication strategy is precisely tailored to the needs of our customers. We take into account your individual framework conditions, such as objectives and target groups, as well as your capacities and budget. We can also quickly and easily add or replace measures so that we can react flexibly to your communication goals.
3. What contacts does .FACTUM have with the different media?
Our media mailing list consists of over 11,000 contacts, from which we compile an individual mailing list of relevant editorial contacts for each press release. Depending on the type of media appropriate for the subject, content and department of a release, we compile a suitable distribution list from our pool of contacts and on the basis of ongoing research. We also have regular telephone contact with most of the media. It’s important to us that we only send our targeted story ideas to contacts who are likely to be interested.
We also use the Augure service, which gives us access to STAMM-Verlag’s editorial address database.
4. I want my press release published in a specific outlet - for example Süddeutsche Zeitung (SZ). Is this possible?
It is often difficult to determine the success of a measure, such as a press release, by its publication in a specific medium. Overall, it is always important for us to define the objectives of our joint work in advance and then select the appropriate media. Even if an article is not immediately generated in the SZ, this does not necessarily mean that your press campaign is a failure. We want to make you and your topics visible in media relevant to your target groups in the long term and create an image with which you can identify. The success of a press release, for example, is not only measured by the number of publications. An exciting presentation of your topics will also leave an impression on editors, resulting in further or subsequent publications and new measures. The result is therefore – regardless of specific publications – a gain in learning and knowledge for yourself: How well does my topic work?
5. How does .FACTUM measure the success of the work, e.g. a press release?
As we define the goals of the collaboration with you, it is easy to track the success of our work. We create updates during the project and send them to you regularly. We also discuss the objectives with you at the kick-off meeting and explain how we will measure them. Our reports detail the results, describe ongoing projects and give an outlook on the next activities. We will let you know as soon as possible if the targets we have set prove to be unrealistic or if other options open up.
Accounting modalities / offers
1. What is the hourly rate? Is there a junior rate?
Our regular hourly rate is €120, and €150 per hour for conceptual work and time spent by the managing director. We advise you and always carry out your projects in the way we think is best – according to your wishes. Therefore, we do not scale our hourly rates.
However, an hour billed by us is often more than an hour of work: services provided by trainees, students, interns and volunteers are always checked and verified by the project managers. In addition, we do not charge for our administrative work.
2. What does a quote include / How does .FACTUM structure quotes?
We divide each service into three steps.
Each task starts with a conceptual service. This is followed by the operational implementation of the project, which includes project coordination. Other support or consultancy services that are requested in addition to a specific project are summarised under the heading ‘Customer Support’. The scope of this service is always defined in advance.
3. Are there flat rates?
The way we work with each of our clients is bespoke, as is the billing model. For larger projects or where we will be working together over a longer period of time, we recommend that you request a retainer. In this case, we do not work in the same way as with classic flat rates; again, you only pay for the services provided. However, you will be billed monthly for a fixed amount. We will inform you of the breakdown of the budget and the services provided in our monthly reports.
4. Does .FACTUM offer gross or net prices?
Our quotes are net prices. However, as we are a VAT-registered company, we charge 19% VAT on every quote, or 16% VAT between July and December 2020.
5. Does .FACTUM work pro bono?
Yes, we do. We also manage pro bono projects on an ongoing basis. These projects come from the environment of the individual employees. Anyone can suggest projects to us and we will provide our services free of charge.
6. How can I stop working with you?
If it is necessary to terminate the collaboration during a project, we will charge you for the hours incurred. Services already contracted will not be invoiced. If the collaboration is based on a retainer, the collaboration can always be cancelled within four weeks to the end of the month.
